Cancellation & Refund Policy

1 Retainer Deposit & Date Reservation

To secure your wedding date or session on our calendar, a 30% non-refundable retainer fee (or EGP 3,000 for standard photo sessions) is due upon contract signing.

Because Scout accepts a strictly limited number of commissions per month across Cairo and destination venues, locking your date means turning away competing inquiries. The retainer compensates the studio for date exclusivity, creative storyboard planning, and crew reservation.

2 Client Cancellation Timelines

If you must cancel your booking completely without rescheduling, refunds on payments made beyond the initial retainer deposit are governed by the following schedule:

• 60+ Days Prior to Event: 100% of any payments made in excess of the initial retainer deposit will be refunded within 7 business days.
• 30 to 59 Days Prior to Event: 50% of payments made beyond the retainer are refunded.
• Under 30 Days Prior to Event: Remaining balance is non-refundable, as production crews and equipment allocations have already been committed.

3 Rescheduling & Date Transfers

We recognize that wedding dates and event timelines can shift due to venue logistics:

• Notice Window: You may reschedule your date up to 14 days prior to the scheduled date with zero penalty or administrative fees.
• Calendar Continuity: Date changes are subject to studio availability within 12 months of the original booking date.
• Full Credit Transfer: 100% of all payments made to date transfer seamlessly to your new agreed date.

4 Weather Contingencies for Outdoor Venues

For outdoor weddings and sessions in coastal regions (El Gouna, North Coast, Alexandria) or open-air venues in Cairo:

• In the event of severe adverse weather (sandstorms, heavy rains, or dangerous gale winds), we offer a complimentary postponement to an agreeable date.
• Alternatively, portrait sessions may be moved to our climate-controlled natural light studio in Zamalek, Cairo at no additional facility fee.

5 Post-Production Revisions & Album Guarantee

We stand behind the craft and quality of our deliverable archives:

• Two Rounds of Revisions: Every collection includes two complimentary rounds of fine-art retouch adjustments requested within 14 days of online gallery delivery.
• Physical Album Inspection: If a handcrafted leather album arrives with manufacturing or transit defects, notify us within 7 days for an immediate complimentary reprint and hand-delivery in Cairo or courier across Egypt.
• Encrypted Cloud Archiving: Your full-resolution files are backed up on encrypted cloud servers for a minimum of 5 years.

6 Emergency Studio Contingency

In the rare event that an assigned lead photographer cannot attend due to a medical emergency:

• Scout maintains a roster of senior associate photographers who shoot with matching camera bodies and optics to step in seamlessly.
• If an agreeable replacement cannot be coordinated, the client will receive an immediate 100% full refund of all monies paid, including the retainer fee.
